Simitless helps receptionists keep records of visits to your premises.

Your office building prides itself on the most comfortable and welcoming offices in the world. Designed from scratch, built with the best materials out there, crafted by the best artisans in their fields – they do your company its due justice. But as with all things that are precious to your heart, you do not want to see them treated with either negligence or disrespect. Understandably so, if one considers that you have poured your heart and soul into making them what they are now. Therefore, for some time now you have been toying with the idea that it would be better to set up a visitors’ log. After all, due to the nature of your business, you have to arrange meetings with strangers in your own offices on a daily basis. And strangers... you are not really a fan of. Granted, strangers can become friends, given enough time, mutual interest, good-natured conversations.

So what better way to lay a solid foundation for possible future friendship if not aforementioned visitors’ log! A simple logbook to record all the visitors to your offices would do, you believe. Just a very simple kind of journal, to keep track of the comings and goings, for posterity’s sake. But in such a sophisticated environment as your office, even a simple logbook needs to look the part. Looking the part in a 21st-century office means a digital logbook, brownie points if it can boast over centralized access and be cloud-based. Having considered visitor management software, you found them bulky, heavy, and inflexible. Moreover, neither of them really suited your needs. Yet, among these inflexible heavyweights, there is an underdog that does things differently. Unlike these former, this underdog – a.k.a. Simitless – has created a flexible system that you can modify however you want within minutes.

For your particular need, Simitless has a default application model that can assist you in managing the visitors’ logs of your offices. To experience the app for yourself, consult the application model then click the " Use this model" button to create your own copy of the app. Simitless is a system that adapts to your needs. Plus, it is risk-free. How so, you wonder? Well, Simitless does not require any disproportionate investment upfront to set your application up and running: try out the app first and then pay only for the necessary resources. At any time, you can either improve and grow your application, or, on the contrary, reduce its size and cut down on its capabilities. We developed Simitless with one core idea in mind – to make an application that would adapt itself to the way you work, not the other way around. To save your progress, think of creating an account by following the instructions on the green buttons!

To start configuring your application, use the main menu to add your company's employees ( Employee ). If it makes things easier, you can simply import your employees lists using the button.

Once that is done, you can go on and make your receptionist acquainted with the app. The instructions to use the app that you’d need to present your receptionist with are not numerous and quite simple to follow. Create each new record from the main screen by clicking the button . The app will prompt you to select the employee who is receiving this visit from your possibly new friend but, as yet, a simple stranger. A form pops up, asking you to input the name, the company and a reason for the visit. We have come up with three possible reasons ("personal", "professional client", "professional supplier"). You can, however, modify this field and add whatever reasons you deem necessary. (To do so, click on the title of the field Edit data type Manage values to select). One thing you do not need to worry about is inputting the arrival time, as it is generated automatically.

Once the visitor leaves, all the receptionist has to do is check the "left" box to mark that the visitor is no longer on the premises. To go even faster, this box can be checked directly in the table (main view), without having to open the visitor registration form. The departure time is recorded automatically, once the box is checked.

Whether to safeguard your equipment, to keep your premises secure, or to conform to health and safety regulations, a visitors’ logbook can be an important feature to have as it allows you to simply record the list of people visiting your offices be it for reasons of insurance, or else.

If you want more features, but don't think you know how to modify your application yourself, talk to your local IT specialist, we will support them in setting up your system for you! For a limited time, while we are working on setting up our consultant network, we can personally assist you with getting your system up and running.
