App 43/60: Meeting Notes

Simitless helps teams organize more effective meetings.

An experienced and wise “captain” that you are, your team meetings are a token of how tightly you run your ship. Neither will you be caught sailing close to the wind, nor will you ever turn a blind eye to a shot across the bows. And although you are prepared to trim your sails if the occasion requires it, once your course is set, you go through with it through thick and thin. But it is not always the same smooth sailing with your teammates, who more often than not appear to be all at sea. Thus, albeit you keep track of all the key elements discussed and actions decided upon during a meeting, you feel like you are left high and dry by the rest of your team, forgetting to take notes on their end. As a result, some tasks are forgotten, others are not completed on time. Not only does it send you up the pole, you feel like your whole company is running the risk of keeling over. With such thoughts darting through your troubled mind, you start wondering if it wouldn’t be possible to share your meeting notes and task lists with every member of your team in real-time on the one hand, and keep said notes for future reference in a centralized and secure system on the other? And indeed it would! Good thinking! But where to find such a tool, a software, or maybe an app? Well, have you heard of Simitless?

Simitless has exactly what you are looking for –  an application model for taking minutes and sharing your meeting notes. Consult the application model, then click the " Use this model" button to create your own copy of the app. To save your progress, think of creating an account by following the instructions on the green buttons! Once your application has been created from the model provided, invite your colleagues to join your application by creating a Simitless account ( Edit app Access rights).

For each meeting, create a new record. Input the main subject of the meeting, but no need to bother with indicating the date, as it will be logged automatically. In the notes field, the meeting’s minutes taker can document key issues discussed and, for each decision taken, he/she can add these to the “Tasks” list.

In just a few clicks, you have an app that enables you to record the results of all of your meetings in a centralized fashion. Every member of your team has access to it. What it means for you is peace of mind, as you are not going to be caught between the devil and the deep blue sea ever again. At the end of the day, information being well organized, tracked, and accessible to everybody is one of the secret recipes of effective meetings and, more generally, of infallible management.

To go further, why not add another couple fields to the “Task” list to indicate who is responsible for a given task and by when should the task be completed, in order to foster accountability within your teams and to encourage individual team members to take action independently of being prompted to do so (as recommended in Application 7/60: Simple team tasks management)?
